Starting Rate: $12 per hour
Position Summary: The receptionist greets callers and visitors in a warm and welcoming manner and is responsible for transferring calls to appropriate staff and directing visitors in a fast paced environment. The qualified person in this role exemplifies a trusted professional by exercising diplomacy, confidentiality, and a high level of integrity at all times; creates the first impression of ARF and sets the tone for callers and visitors.
Principal Duties:
- Answer all incoming calls from main reception line in a professional, warm and welcoming manner and transfer calls to appropriate staff extensions; check the general voicemail messages regularly and forward calls to appropriate extensions.
- Greet and direct all visitors, staff, vendors, and volunteers.
- Extensive use of e-mail, ARF’s web site and Outlook calendars to keep track of who is out, pertinent events, and communicating with staff; update and create documents for reception desk and other departments as needed in Word and/or Excel.
- Keep reception desk clean and organized; stock entry area with printed materials; take inventory of reception supplies.
- Process mail and maintain upkeep of postage machine; ensure that FedEx picks up scheduled packages.
- Coordinate monthly work schedule for volunteers and staff; responsible for informing other staff and volunteer receptionists of revisions to procedures and protocols; foster a cohesive reception team.
- Keep tight security when keys are checked in/out by volunteers and vendors.
- Handle challenging situations professionally, calmly, and with consistent messaging regarding ARF’s policies and procedures.
- Participate in weekly department and staff meetings and keep supervisor informed of front desk happenings; work with supervisor to provide solutions when needed; attend anti-harassment trainings and other trainings as needed.
- Perform other duties as assigned.
Physical Requirements:
- Allergic conditions, which would be aggravated when handling or working with animals, may be a disqualification.
- Lift and move objects weighing up to 40 pounds for short distances
Educational Requirements: High School Diploma or equivalent.
Experience, Abilities and Qualities Required:
- One year previous receptionist or other relevant experience.
- Excellent telephone skills while exercising diplomacy and confidentiality in communicating with others.
- Friendly, energetic, and welcoming manner; professional personal appearance.
- Ability to stay calm; keep a soft and courteous tone of voice in the midst of a fast paced environment.
- Computer savvy with the internet, Outlook e-mail, Word and Excel.
- Takes initiative, demonstrates excellent judgment; and has strong interpersonal skills with a culturally diverse staff, volunteers and community in a professional manner at all times.
- Flexible to adapt quickly and with a positive attitude to rapid changes in procedures and/or protocols.
- Follow directions and policies with a great attitude.
- Effective verbal and written communication skills.
- Strong organizational and administrative skills.
Immediate Supervisor: Human Resources Manager
Hours: Part-time position 12 hours per week: Monday, Tuesday and Friday (1 p.m. – 5 p.m.)
